We have a clear process

Step 1: We understand your needs

We meet with you to discuss your needs and develop a plan to meet them.

Step 2: Survey design and development

We talk to you in person or over the phone to understand your requirements for the content of your survey.

After this initial discussion, we set up a draft survey.

If the survey is online we develop the survey online using our in-house online survey software, Tribal Tool-Kit, and use this development phase to refine your survey. We then send you a test link in an invitation email which can be branded with your logo and email address. Once you have reviewed the survey and invitation email, we finalise any changes you require.

If the survey is for postal or telephone methods we develop the survey and email you a document for your review. The survey is then finalised for data collection.

Step 3: Distribute the survey

If the survey is online we offer two options:

  1. Tribe Research provides you with a link to the survey which you can insert into an email invitation to your database and/or place on your website. Participants would then click on the link and be taken to the website where the survey is hosted.
    Advantages: The invitation will be coming from you with the same branding members recognize and will not be blocked by spam filters. Your database details are not provided to Tribe Research [if you are concerned with this – Tribe Research are bound by a Code of Behaviour and ethically would not use the details for any purpose other than your survey].
    Disadvantages: Tribe Research won’t be able to match responses to your existing database and therefore can’t utilize existing data you have in comparative analysis. A personalized reminder to those who haven’t participated can not be sent.
  2. Tribe Research sends personalized links to your database inviting them to participate in the survey
    Advantages: A comparison can be made between participants and non-participants using your existing database of members. A personalized reminder can be sent to non-participants increasing the response rate.
    Disadvantages: The survey might not get through to some inboxes due to spam filters. The email can include HTML but will not be the same as emails sent by you.

Step 4: Manage the survey online

Tribe Research will send you an email update about the number of participants each week of the two-week survey period. We will also manage any queries from your tribe while the survey is open.

Step 5: Analysis and reporting options

There are several analysis options available to suit your budget and research needs:

  • A: We provide you with a Microsoft Excel data file for you to conduct your own analysis.
  • B: We conduct basic analysis including frequencies and percentages for all questions, averages for all rating questions, and difference between importance and satisfaction so you can prioritise your planning and marketing strategies. Verbatim open responses are provided in a Microsoft Excel file.
  • C: We conduct group analysis to discover if there are differences in responses between groups. For example whether males and females, different age groups, or other sub-groups have different views about your organisation.

Our reports have been called ‘living documents’ because they are continually used to help marketing and business planning and are easily understood without research experience. We will customise your report according to your preference for numbers, words or graphs.

Tips: Increasing the response to your survey

Sending a reminder email is one of the best ways to increase the response rate for your survey (which is included in your package). To increase your response rate even further, we also recommend:

  • Offer an incentive to participants: This works best if it’s both relevant to your tribe and related to your products or services. You can either offer a small incentive to all participants (eg: a discount voucher), or enter them into a prize draw to win one, or several, larger incentives (eg: free product or service from you or something that your tribe would relate to).
  • Send out a warning email: If you contact your tribe in advance to tell them they will be receiving an email invitation to participate in a survey, and how you plan to use the results, they will be more receptive to participating.
